Client notes are freeform notes added directly on a client record. They are not linked to any specific task, task, or subtask and are useful for recording general information about a client such as preferences, billing contacts, or onboarding decisions.
1. Open the client record from the Clients tab.
2. Go to the Notes tab.
3. Click Add note.
4. Write your note using the rich text editor. You can format text, add bullet lists, and include links.
5. Click Save.
Editing and deleting client notes
• To edit a client note, click the ⋮ (three dots) menu on the note card and select Edit.
• To delete a client note, click ⋮ and select Delete. Only Admins can delete notes.
Pinning a client note to the Details tab
Any client note can be pinned to appear in the Pinned note section on the client's Details tab. This is useful for making critical information immediately visible to anyone who opens the client record.
6. On the Notes tab, find the note you want to pin.
7. Click the ⋮ menu on the note card.
8. Select Pin to Details.
Important
Only one note can be pinned per client at a time.
Pinning a new note automatically replaces the previously pinned note.
To remove a pinned note, click ⋮ > Unpin from Details.
This section now shows all task notes and subtask notes for this client, automatically rolled up from their tasks. Notes are grouped by task name.
Task group headers
Each task appears as a collapsible header row showing the task name and the total number of notes in that task. Click the header to expand or collapse the task group.
Editing notes from the Client → Notes tab
Note text is editable from the Client → Notes tab for all note types. Any workspace user can update note text regardless of the task status or who originally added the note. Only Admins can delete notes.
Notes from tasks you are not assigned to
You can see all task and subtask notes on the Client → Notes tab, even for tasks you are not assigned to.
Can I see notes from tasks I am not assigned to?
Yes. All task and subtask notes for a client are visible on the Client → Notes tab, regardless of assignment.
What happens to notes when a task is completed or archived?
Notes are retained in full when a task is marked complete or archived. Notes are only permanently removed if a task is permanently deleted.
Who can delete notes?
Only Admins can delete notes. Any workspace user can edit note text.
Can I add a note to a milestone?
No. Notes can be added to subtasks only, not milestones. Milestones do not have a Notes section in the subtask detail panel.
Can I add images or screenshots to a note?
Not in the current release. Image and screenshot support in notes is planned for a future phase.
Can I export notes to a report?
Not in the current release. A Notes report with filters and CSV export is planned as a separate future initiative.
What is the difference between a task note and a client note?
A client note is a freeform note added directly on the client record — it is not linked to any task. A task note is added on a specific task and is linked to that task. Task notes roll up to the client record; client notes do not roll up to any task.
Can clients see notes?
No. Notes are internal to your workspace and are not visible to clients via any client portal or communication.
